Who we are
DuoText is run by an independent developer in the European Union, who is the controller of your personal data. For anything about your data, write to [email protected].
What we collect and why
- Your account: email address and, if you choose, your name, so you can log in and we can reach you about your books. Needed to provide the service.
- Your files: the documents you upload and their translations, so we can translate them and keep them in your library. Needed to provide the service.
- Quality review: to improve translations, we may look at documents and their translations, and we record technical details of each conversion (languages, file type, size, timing, errors). Only DuoText staff do this, inside our own systems; nothing is shared with third parties. Based on our legitimate interest in a service that works well.
- Reading and usage data: your place in each book, the pages you've used and your plan. Needed to provide the service.
- Usage statistics: the pages you visit and what you do on them (for example starting a translation or opening a book), the site you came from, your country and device type. We use no cookies or other browser storage for this and don't store your IP address. To tell visitors apart within one day we keep a scrambled code whose key changes every day, so it can't be linked across days; when you're signed in, it's linked to your account. A copy, without your IP address, goes to our analytics provider, PostHog, in the EU. On the translate and reading pages we also record how the page is used (scrolling, clicks, what is on screen) to find what gets in people's way; the text of your book or document, anything you type and your email address are hidden in these recordings, and nothing is stored in your browser for them. Based on our legitimate interest in knowing how people use the site and fixing what gets in their way. To opt out, write to [email protected].
- Reading reminders: if you ask for them, we use your email address, your place in your book and whether you've read today to email you a reminder, around the hour you asked. Based on your consent: stop them with the link in any reminder or on your account page.
- Error reports: technical details when something breaks, so we can fix it. Based on our legitimate interest in a working service.
- Feedback and emails you send us, so we can answer.
We don't sell your data, and we don't use your files to train AI models.
Payments
Plans are sold through Link, Stripe's checkout service, which handles your payment details under its own privacy policy. We never see your card number; we receive your email, your plan and whether the payment went through.
Who processes your data for us
We use a small number of service providers, each bound by a data processing agreement: hosting and database providers in the EU, file storage, an AI translation service that receives the text of the documents you translate, an email service, error monitoring and usage analytics (PostHog, EU). Some of them are based in, or may access data from, the United States; those transfers are covered by the EU–US Data Privacy Framework or the European Commission's standard contractual clauses.
How long we keep it
We keep your account and your translated books for as long as your account exists. When you delete your account, we delete them too, including the stored files, within 30 days. We keep payment records for as long as tax law requires.
Books you finish translating stay in your library until you delete them or your account. Other uploads are deleted automatically: if a translation failed or was flagged by our quality checks, we keep the file and the attempt for 90 days so we can find and fix the problem; an upload you never translated, and anything uploaded without an account, is deleted after 30 days.
Files uploaded without an account aren't linked to anyone. If you want one removed sooner, email us its link.
Cookies and local storage
We store your login session, a few preferences (theme, reading position) and how many free word meanings you have used in your browser. These are needed for the site to work. We don't use cookies or browser storage for analytics or advertising, so there is no cookie banner.
Your rights
You can ask to see, correct, export or delete your data, to restrict or object to how we use it. Write to [email protected] and we'll answer within a month. You can also complain to the data protection authority in your country.
Changes
If we change this policy in a way that matters, we'll tell account holders by email before the change applies. See also our terms and refund policy.
